Full Time (Monday - Friday, occasional nights and weekends as required)


This position provides administrative support for all development functions. Pick up, open and process incoming mail and assemble all donations for daily deposit.  Enter address changes and other donor/prospect information in Salesforce. Enter and produce acknowledgment letters for all in-kind donations. Assist Database Coordinator with various database projects.  Send reminders and update subscription information for recurring donations. Answer telephone and general emails, responding to routine inquiries about various giving programs, donor benefits, and gift in kind donations. Mail bequest information packets, memorial/honorary gift cards, invitations, and other materials to donors.  Oversee vehicle donation program.  Track all ticket purchases, comped seats and underwriters for the Spring Fling Gala and registrations for the Puppy Love 5K Run/Walk and Surf Dog Surf-A-Thon in Classy. Staff annual special events and various donor recognition/cultivation programs, e.g., help set up for events, receive guests and distribute nametags, serve food/beverages, help with cleanup.  Prepare, organize and set up monthly donor recognition luncheon.   Make outreach/informational visits to promote the Center at local offices, schools, events, etc. Run various errands locally, to post office, to pick up items for departmental events, etc.  Maintain and order general office supplies for development office.  Provide assistance as needed on special projects as assigned by the Vice President of Development or Development Manager.  Maintain compliance with Helen Woodward Animal Center policies and procedures.  Perform all duties in accordance with established Center safety standards.  Participate in Center activities and events as required.  Complete other assignments as required.  Represent Helen Woodward Animal Center standards of professionalism.


The ideal candidate will have a customer service or administrative support background and an interest in pursuing a career in fundraising. Past nonprofit experience preferred. Exceptional attention to detail and organizational skills required. High School diploma required, some college preferred.    Must be proficient with Microsoft Word and Excel. Database experience preferred.  Must type 50+ WPM with exceptional accuracy.  Superior proofreading and problem-solving skills required.  Must be able to maintain confidentiality relating to donor and departmental records.  Professional, friendly, and courteous manner in interfacing with donors, potential donors and fellow employees.  Must be able to work and maintain professionalism in a fast paced environment, often with multiple competing deadlines. Ability to work successfully in a self-directed environment as well as a team environment.  Must be able to drive company vehicles.  Current CA license and clean DMV record required.
